Welcome to RoomHives. We respect your privacy and are committed to protecting your personal data. This privacy policy explains how we collect, use, and safeguard your information when you use our flatmate management application.

2. Information We Collect

We collect the following types of information:

Personal Information:

  • Account information (email, name, password)
  • Profile photo (optional)
  • Phone number (optional)

Flat & Roommate Information:

  • Flat details (name, address, invite codes)
  • Roommate names and relationships

Financial Data:

  • Expense amounts, descriptions, categories
  • Payment records and settlement history
  • Recurring bill information
  • Expense group memberships

IMPORTANT: We do NOT collect or store your bank account numbers, credit/debit card details, payment credentials, or PINs. All financial tracking is for record-keeping only.

Activity Data:

  • Task assignments, descriptions, due dates
  • Shopping list items and purchase status
  • Notification preferences

Technical Data:

  • Device information (type, OS version, app version)
  • Device identifiers (for push notifications)
  • Usage data and analytics
  • IP address and connection information

3. How We Use Your Information

We use your information to:

  • Provide and maintain the RoomHives service
  • Manage your flat and roommate relationships
  • Track and split expenses among flatmates
  • Manage tasks and shopping lists
  • Send important notifications about your flat
  • Process settlements and payment records
  • Improve our services and develop new features
  • Ensure security of your account
  • Comply with legal obligations

4. Data Security

We take data security seriously and implement the following measures:

Encryption:

  • All data transmitted using HTTPS/TLS encryption
  • Passwords hashed and never stored in plain text
  • Data encrypted at rest on Firebase servers

Access Controls:

  • Only you and your flatmates can access flat data
  • Role-based permissions (Viewer, Member, Admin)
  • Secure authentication via Firebase

Infrastructure:

  • Data stored on Google Firebase (Cloud Firestore)
  • Regular security updates and monitoring
  • Automated backups

However, no method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

5. Sharing Your Information

We share your information only:

  • With your flatmates (as per app functionality)
  • With service providers who assist in app operations
  • When required by law
  • With your explicit consent

What We DO NOT Do:

  • ✗ We DO NOT share your data with marketing companies
  • ✗ We DO NOT use your financial information for advertising
  • ✗ We DO NOT share your data with third parties for their marketing purposes

6. Third-Party Services

We use the following third-party services to operate RoomHives:

Google Firebase:

Data Storage Location:

Your data is stored on Firebase servers, which may be located in various countries. By using RoomHives, you consent to the transfer and processing of your data in these locations.

7. Your Rights

You have the right to:

  • Access your personal data
  • Correct inaccurate data
  • Request deletion of your data
  • Withdraw consent
  • Export your data
  • Object to processing
  • Lodge a complaint with data protection authorities

How to Exercise Your Rights:

Delete Your Account & Data:

  • Go to Settings → Profile → Danger Zone → Delete Account
  • Your personal data will be deleted within 30 days
  • Shared financial records will be anonymized

Export Your Data:

  • Go to Settings → Profile → Export Data
  • You will receive a complete copy of your data

8. Data Retention

We retain your data for the following periods:

Active Account:

  • Account data: Duration of account
  • Flat data: While you are a member
  • Expenses & bills: Duration of account

After Account Deletion:

  • Personal data: Deleted within 30 days
  • Financial records: Anonymized and retained for 7 years (for tax/audit requirements)
  • Shared expenses: Anonymized as "[Deleted User]" for other users' records
  • Analytics data: Deleted within 90 days

You can request earlier deletion by contacting privacy@roomhives.com, subject to legal requirements.

9. Children's Privacy

RoomHives is intended for users 13 years of age or older.

If you are under 18 years of age, we recommend that you obtain consent from your parent or legal guardian before using this app.

We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will take steps to delete that information as soon as possible.

If you are a parent or guardian and believe your child under 13 has provided us with personal information, please contact us at privacy@roomhives.com.

10. Privacy Compliance

We comply with applicable data protection regulations including GDPR and other relevant privacy laws, adhering to principles of consent, purpose limitation, and data minimization.

  • Currency preferences can be set in your profile settings
  • We respect your rights to access, correct, erase, and manage your data
  • You can exercise your rights through in-app settings or by contacting us
  • We respond to data requests within 30 days

11. Changes to Privacy Policy

We may update this policy periodically. We will notify you of significant changes via the app or email. Your continued use of RoomHives after changes constitutes acceptance of the updated policy.
